Evaluation of “EYF reloaded – it all starts with You(th)”, 4-6 Feb 2013

I’m happy/ satisfied with:

I’m not sure about:

I still have questions about:

What was the added value of this meeting for the work of your org?

What was the added value of this meeting for your relation with EYF?

What suggestions do you have for similar meeting in the future?

What was the most significant thing you have learned during this meeting?

How would you describe the EYF in one word?

1

Networking between pax, getting to know EYF team, new funding, space for working

  -

-

More ideas on projects higher on quality, more impactful work, innovative approaches.

See EYF work from inside, get empowered to develop further partnerships.

Organized time for networking, sending list of pax + organisations beforehand.

Future of EYF grants.

Dedicated work.

2

Overview of how EYF works, meet the team and their daily challenges, what we can do together (not only promises)

Structural grant

Yes, but I will formulate them back home, it was intensive and lots of info

-

Sustainability of our relation (Special and close)

For INGOs to invite 2 members from their network/member organisation

The powerful of EYf -> need to be maintained

Working with and not only for ‘a global project and challenge”

3

Working atmosphere, new contacts, my contribution to the group

How to deal with the new option of  annual work plan

-

Better understanding of EYF working priorities, self-reflection on conducting internal planning, potential new partners form the other NGOs present

Personal working relations

More space for pax to exchange/present their organisations and their work

Self-reflection on internal working structures regarding planning and evaluating activities + how to improve

Partner

4

Detailed info about EYF functioning, space to many questions + detailed answers, our involvement and appreciation to our feedback, moderation was funny

Some tasks for the wg were unclear, the questions in the plenary for the ‘impact’ session made me feel under ‘evaluation’

Why didn’t you inform us about the manifestation? We are HR activists, would have been good to join

Lots of info on how to write applications and reports, met several interesting NGOs and individuals to work with

I will make me more comfortable and less shy to pick up the phone and ask questions.

Keep on being open with us with your needs, keep meeting the activists and NGOs you support, repeat the experience

That there are a lot of people that want to help out work

Open for discussions

5

Patience of the team -> worked well for/with us, information given in the event, people and conversations, laughter we had together, communication is strongly emphasized. - -

Networking with other NGOs, space for self-reflection, ideas for improvement and feed-back, inspiring new ideas and hopefully joint projects

Linking emails with faces , understanding the other perspective that our work can be seen from.

Perhaps pay attention to different realities of NGOs. At some point the international/national/local division could have been useful -> difficult to contribute from one perspective to another.

The practical elements of work with EYF (applications, reports and new rules), that the work we do is very much valued and appreciated

Friends (that support and criticize when needed)

6

Presentation, facilitation, facilities in EYCS, diversity of groups, degree of humor, fun and dynamic team, comfortable/open setting, lots of tips, exchange of roles, names in emails become faces/humans

too little time for many sections, lack of proper vegan option, lack of nice evaluation methodology as example for others, the label ‘expert’ on the badge

learning about other NGOs, too little time for socializing, workplan is stil vague -> more time needed, lack of info about demonstration/strike outside for HR activists to participate

Meet other actors in the youth field, strengthened reflective capacities, deeper dive in terminology beyond buzz words.

Meet the team -> was not scary but sympathetic and fun team, understanding of EYF position within aid chain, increased preparation for the new system

More experimental methodology ‘out of the box’, more open space, more extensive evaluations to increase learning, more focus on common group ground rules including anti-discrimination, anti-sexism and anti-dominance/taking too much space.

The team is amazing! Confidence to engage in mutual critical and constructive process to improve all our work.

Self-critical (which for a high profile funder is quite incredible, unique)

7

Possibility to meet EYF team and reps of other NGOs, information given, openness I felt from the others

How the system will work after 1st March ( I cross my fingers)

How to fit the criteria

A clear picture about expectations from EYF to NGOs, support us to cooperate.

I am not afraid to ask, reflect, giving and getting feed-backs from EYF

If it is more about cooperation and not so much about technical, then  involving reps of target groups also

How is to be on the other side.

Fun

8

The sharing of ideas both with EYF and participants, the relation and approach of EYF team, the methodology of the event, the smooth atmosphere, the friendly attitude, the relevance of EYF team

still not sure what most other pax are doing and networking part among us is achieved, could be better to organize more in different level because we are not sharing the same realities or target

Very practical, concrete things on how to report, expectations in terms of receipts…

Advice on how to present out projects, better understanding of your expectations

Increase the capacity of dialogue with you as I’m sure now that you are able to understand difficulties that we can face.

More time for NGOs to present what they do, one day more for future common projects, a kind of fair to reply to all personal questions on reporting and writing proposals, more individual approach, more informal time with participants

Have an internal view of the team, you expectations and your flexibility

Dedicated to youth

9

Results of the meeting: clarity on new rules, understanding the CoE/EYF context, meeting the EYF team, overview on youth NGOs, perspective on the cooperation with EYF. Methodology used, content of the sessions, the interaction among  us (pax – team, pax-pax), informal context + friendly/ family atmosphere

There were some inconsistencies beween some of the aspects pointed out about the role of the NGOs, the position of the EYF/ CoE -> might appear normal due to the diversity but maybe could be clarified -

Motivation to work closer with member organizations and suggest & support them in starting on developing their relation(ship) with the EYF

Enabled us to get to know personally the EYF team, brought about trust and respect towards the foundation.

Seminar of Visibility, EYF Community

Even after so many years of youth work, there are so many things to learn when it comes to impact of our activities & projects. I want to learn more & develop/ contribute to the development of tools that help us show the outstanding results of our work.

PURE

Partnership

Unique

Respect

Exchange

10

Info about the new operational rules, getting to know the EYF team, the cooperative approach of the team, learning how EYF works, to be in the shoes of the secretariat and I really appreciate that they also wanted to see our point of view, flexibility and willingness to communicate with the NGOs -

The new system, but I think things will be clarified after the system starts to work.

To improve our work in order to develop better quality projects

Knowing who we are working with, what EYF expects from the organizations, what to improve in order to answer their criteria for quality projects.

Maybe it would be good if it’s a little bit longer meeting in order for pax to get to know each other better and to establish partnerships.

Learning about the new rules, learning what the team wants to hear and to take into consideration their points of view, ideas, problems, needs of organisations.

Cooperation

Thank you!

11

The way that you organized, way of communication, the perfect way of interaction

If my contribution was I wanted it to be. If other particular ones are working or doing philosophy.

If YEF will continue working in the future, EYF geography

I consider that transparency is the value that we also try to involve in our daily work.

Open country cooperation, possibility to meet you and to have a possibility to speak directly.

Need to be longer. More days to clarify tiny details.

Working in an institution such as EYF is difficult.

Source of Opportunity.

12

Dialogue with staff and fellow youth NGOs, space given to ask questions, speak up and share, responses given, the time & dedication of the team to this meeting, the openness to questions -

Some things I can directly ask during my consultation

Now I can reiterate to my org. that EYF is not our regular kind of donor but our ‘partner’ and ‘support’ in our work. I have always believed this since the time I met Michele in NL! We will def. work for QUALITY!

Now I know I can be myself even more, no pretentions. I can openly say challenges & achievements without feeling being judged by people I don’t know. This meeting made me feel again this ‘meaning’ and real value my work for me. I was tired and on the edge of quitting and somehow it made me regain my strength to continue! Thank you JC & the Angels

A similar meeting in Nov. can be on: Usefulness of the results of the EYF reloaded, how NGOs were able to echo the meeting, give feed-back about the website/online application/visibility, etc. Develop a comprehensive communication strategy between EYF and NGOs (bring back some pax).

Quality work done by a small team of people is possible when heart & dedication is put into it. This is something no big institution can buy! I salute you EYF Team for doing your work with flying colors! Communication and mutual (2-way) dialogue always helps.

(ALL)HEART!

13

The methods used all throughout this meeting, the active involvement of the EYF team, the topics we have tackled, to have been part of this meeting and getting to know other NGOs financed by EYF, to have been involved in the process of developing new visibility tools, applications, etc / -

To exchange the work by my NGO and get inspiration to continue in our strategy & reloaded too!

To get to know the all team and that they can also exchange and propose cooperation we can implement together.

I would like to have thematic meeting about projects funded -> share strength & weaknesses + on the recognition & impact of our work (Good & bad practices)

That EYF team, especially JC, do want to support us in relevant actions that will bring relevant changes to the society, without being in boxes! Thank you so much for that!

OPEN for dialogue

14

Getting to know the team and their way of thinking, different grants and procedures, emotions put in the work, overall atmosphere, program implementation -

Annual budget of EYF

I have a better idea how to use EYF support to respond to the real needs of the communities we operate in.

More close contact, more personalized approach, more long-term cooperation.

At least one annual event but with different pax, so more org get to know how EYF really works.

That the EYF is a composition of individuals that really care about what they do and are not just a donor

LOVELYCAREBEAR

15

That the EYF team met us for taking feed-back.

I wanted to talk about common projects with pax, but it’s ok. Anyway, I have the chance to do it myself.

About the names of every participants and staff of EYF

-

That the staff of EYF is open to work together.

I am open for any questions about youth work on Caucasus area to share with EYF.

That I had opportunity to be heard.

OPENED!

16

The EYF tem, the atmosphere, the working methods, the active participation of the participants (good selection), the food

The dates of the new system, the new application structure, the description of the financial documents which are not in English…

Which costs can be covered by co-funding from other donors (1/3 budget), the dimensions of the pilot projects (national, international, etc

The clear understanding of EYF’s priorities and objectives.

I see now YEF more as a partner rather than a donor.

You should definitely organize similar meetings in the future -> and not only in SBX or Budapest.

The way EYF works with the NGOs (looks at the projects).

Interactive

17

Participatory approach: assuming that one opinion could change perspectives, roles and rules. You’ve been brave in trying to improve us, our context and your work. Changes Happens!

Sometimes national/local NGOs, with structural grants, may be more effective and have more impact than international ones (in most cases already structured).

How you can manage doing all this huge work. My congrats! P.S. ( I’ll make other questions by email)

Practical example of (real) participatory meeting.

Structured dialogue (practiced) exists!

If you’ll ask, we may help you in doing it in our countries, hosting your and providing you good wine and a covered parking for Michele’s motorbike (seriously).

Not feeling stupid if I ask questions! If I ask, it doesn’t mean I’m ignorant, but just that I’m willing to know more. Thanx!

ALIVE

18

Team spirit, tasks we did, discussions, presentations, cooperation opportunities

That all discussed issues will be realized

New application forms as well as report forms. Categories priorities ,etc.

The participants (90% of them) were really right people for the meeting and it was the added value, that discussions were very productive.

First time ever, I had met with EYF team, which was great chance to us to talk and communicate with them.

It can be organized once or twice a year, not only in SBX. Organsiations can host it in their countries and all together we can meet local organisations as well.

It was interesting how you are assessing the project reports as well as how you are selecting the successful projects. Your work surprised me, a lot of work!

Opportunities

19

the good vibes among the EYF secretariat, openness of the team in building real bi-lateral cooperation with NGOs, the efforts of the team, the sharing of knowledge and best practices among the present NGOs, all my expectations about this meeting being fulfilled, the food and accommodation, the sauna, the ‘recipes for failure’

In some sessions we ended up with no concrete conclusion or discussing about something else

none at the moment

Getting first hand information (updated) about the new funding rules/structure, the opportunity to analyze a report through the eyes of EYF (with the wish to improve as much as possible the quality of future applications and reports)

To meet people in person and connect names with faces. The reinforcement of the idea that EYF is composed by a team of people who are open and available to help anytime and with patience.

Keep these good non-formal education methods and techniques but maybe it would be more interesting with more sessions with the pax split in international, national/regional and local, since sometimes the needs are different.

Maybe the way how we can continue to improve the relation with the EYF.

Community or Partnership

20

getting to know the EYF team, the work of the EYF team, being part of this meeting

how will it be the new system?

none at the moment

Clear picture how to work with EYF in the future, where our org. could improve, more attention to report the project

Having the chance to be part of this meeting implies additional motivation to continue to work with EYF. Clarification of the EYF works and the new system.

More similar meetings in the future! Organizing similar meeting for exchange of good practices between funded org.

The donors could be our friends. EYF is our friend .

Super Good Foundation

21

Amount of information, positive working atmosphere, people present, devotion of EYF team

Cross-border cooperation, launching date of the new system -

My presence here is really valuable for my org. The info, contacts, knowledge are just a few things that will help our work. It opened a lot of questions to reflect how to improve the work of my org.

Just the thought that people working at EYF are equally devoted to their work as much as we are, and the common values shared, give me a lot of motivation to continue working, learning and contributing.

Evaluation of the new system, topic meetings on sharing practices, discussions on problems/issues young people face in every day life.

Information for the new system, Self-reflection in impact and responsibilities of the org, when we work together the sky is the limit.

Think Youth.

22

EYF team, duration & program, youth centre, information provided, all EYF team taking part in the event, technical organization and support

Maybe good to have at least 2-3 hours for going out. And maybe some proposals for the evenings.

What to expect from new online system

Experience to see what happened on the other side at your e-mail work, to see the mistakes/problems and questions EYF meet in their work.

We will try to be as clear as possible in explaining our ideas. We expect open and clear communication in the future.

Nothing particular, just please continue this practice! On-line ever shifts face to face communication.

Hard to say.

Cool!

23

The whole org., openness of EYF team, topics covered / -

I think I will improve the quality of applying and reporting. Also, it empowered us to see such an open support of a donor. New connections with org.

Knowing all the people and feeling secure when communicating.

Nothing

The way of reporting, new rules, etc.

Dear Friends

24

the work we have done during these days, the conversations in the groups on different topics

If I understood well how will function the new system

how will the new system work

Experience shared by pax on the way how the work and deal with issues addressed through the projects.

Increased trust and confidence

It will be good to have best practices of the projects implemented in order to help us to do better our jobs.

The good spirit and motivation of the other pax and of the EYF team.

Uncomparable!

25

Info on the new rules, interaction with EYF team, the links with other pax

the feeling that local and national NGs are treated as ‘secondary beneficiaries’

how the system is going to work in practice and how this meeting will be reflected in practice

It gave us some clues about our future plans and how we can connect them with the funding opportunities offered by EYF. If also helped us to better understand your approach and your perspective.

I got to know the human beings behind the foundation and understand their concerns and their manner of work. It was also a validation that EYF is one of our favorite donor.

To have a more inclusive attitude towards local and national NGOs and try not to make them feel insignificant or less important.

The responsibility that we carry towards all our beneficiaries and the understanding of the limits imposed on the EYF by the complex decision-making system CoE.

Supportive

26

To be involved and cooperate on both levels, to get the new system, transparency, openness, clearing the issues and taking our proposals into consideration

Follow-up of this meeting (I have no doubts about its effectiveness), how to properly disseminate the views and results of the meeting -

Improve the cooperation with EYF team on a different level, gaining information and possibilities for future cooperation with EYF and NGOs

Clear picture, communication much easier.

To involve pax in the preparation process in regards to topics, …

How to deal with people on different sides of the same boat….

Supportive (This is a very difficult task!)

27

:-) Methods used, hints provided, things learned, amount of info exchanged, representation of good and bad practices, the way in which EYF team works, their desire to cooperate and be supportive

:-| how all the things/suggestions and ideas of EYF will develop in the future, why there should be a division on what is more important (local/international) since both are.

:-( how exactly the new system will work in practice, what is then an international org (different definitions)

It was a lot! we have seen in practice under which guidelines principles EYF works, hot to make our projects having an impact and importance and it offered a possibility to get to know other org. and networks.

I will more easily and happily cooperate with the team and communicate, now that I see what are their aims and wishes.

It should be composed in the same way. Maybe I missed some presentations in front of everyone after working in groups and the facilitator was not acting professional on two occasions (after a remark on english words used in the application and when working in group of 3 did not go by the plan from the beginning). In rest the team worked as a charm.

That we are all people in different structures and in order to work in some goals efficiently we have to work as a team to support each other.

Supportive!

28

:-) the info received and the possibility to apply again to EYF, the incredible mood and spirit of EYF team, the future perspective

:-| not sure what to say

:-( the overall picture of funding opportunities, we missed some funding actions

being a local registered NGO wishing to apply for international projects, I had the possibilty to clarify the situation and the future perspectives. Fur sure, other added value was to understand better quality elements of the projects granted by EYF.

To see and know devoted, motivated and sensitive persons like EYF team. To connect persons behind an email address is great!

To do it again in 1 year and a half (after at least 3 deadlines) to check the real impact of new procedures, rules and funding opportunity on both sides; NGOs and EYF to invest in quality elements of projects.

That he institutions, donors, foundations can do better their job if they connect themselves with their target groups. Here it was the case.

Opportunity

29

:-) Program (it was usefull), attitude of the team, EYF spirit, learning outcomes, EYCS

:-| Food, diversity of the group, quality of WiFi

:-( PC, AC work in selection of applications

Know how EYF works and what to improve.

Personal contact with stuff, knowing the reality

Prepare more tasks for the group, not all the time it was clear what should we do, also when we get a task, let us present results of our work (the task with the app. form)

EYf is pasionate in what they do, always ready to help us.

Friends

30

:-) well-prepared, professional team, practical issues discussed and clarified, good selection of participants

:-| Work plan application, eligibility, how the activities will be proved in invoices (maybe I should read more about it)

:-( can loca/national org apply only for pilot projects

Updated info about the structure of EYf, priorities, activities; how to make a good application and certain mistakes to be avoided.

Direct contact with EYF team, new experience, a more clear vision about the EYF team work.

To be included 1/2 day or 1 day for visiting the city (program too long to see something), to show some best practices/activities in photos, videos.

I got a lot of information about granting applications, new priorities, fears, mistakes to be avoided.

Flexible, great young people.

31

:-) I'm satisfied because different sessions motivated me to work with other NGOs in accordance with European Council methodology

:-| - / :-( -

The meeting shows that EYF has a democratic structure. To know about process of evaluation and approach of EYF can help NGOs to work easily with EYF.

It is difficult to say something new. We can see in the future with the new rules EYF things to apply.

The meeting can include different sessions. Feed-back can be given by organiser after the session and they can declare their ideas related to the future.

The type of project which I should apply for....

Dynamic.

32

:-) Important information for future work, connect the face with e-mail

:-| I can agree with all changes that are decided about the support to international, national, local NGOs.

:-( Will EYF consider other ways of support to local (grass-root) NGOs but the pilot?

To know which are our possibilities in the new system of support, to see we are not alone.

To see that EYF cares about the development of NGOs as well about conducting the projects. To know who are those writing or calling.

To be more focused on some topics. For example, in the simulation of application we could just go through the application. Also, give more feed-back on work done in small groups.

How my NGO can meet new rules, possible new partners.

Supportive

33

:-) The process followed, the methods used, the interaction with EYF team and the rest of the group.

:-| -

:-( the new online system and practicalities (just a few and I'm sure they will be working soon)

Getting information on the latest updates, having the chance to express our point of view and difficulties we face in our work.

I clarified many issues on the way of work with EYF, I feel more comfortable to address the EYF with whatever concern in our activities and political issues linked to youth.

I is needed a lot. I suggest more space where organisations share problems/ challenges they face and good practices.

I was reminded that behind projects, ideas, assessments, changes there are people working, putting effort, energy, time... and this can only be respected and acknowledged.

Friendly and 'present'.

34

:-) Training format, creativity

:-| It could have been longer.

:-) Some questions related to our own project, but I can probably ask you by email.

The application process will now be more efficient as I have learned how it practically works.

I now better understand that we really COOPERATE and should communicate more.

A space for sharing good practice projects, as this would give an actual insight of the other NGOs work. Possibility to get personal consultations.

The attitude of EYF.

-

35

:-) Seeing, meeting the EYF people, opportunity to ask about the funding categories, despite not being the most 'feel good' part, it was the most important part of the program.

:-| "Help us to help you" could probably be a more descriptive name for the training. 'EYF Reloaded' didn't necessarily say what it was all about.

:-( The EYF team seemed annoyed about the questions about structural grants. Maybe you were just tired at that point of the day…? It could have lasted 2 days, the last day didn't feel necessary.

The main reason for us participating was to gain clarity about the new rules and application procedures of EYF and we got answers to most of our questions.

To get faces to your names because it makes you less scary.

Be more clear about the purpose of the meeting. It is informative (learning about grants, etc) or networking, or both? We had assumed it would only be informative. We would have applied anyway, but 3 days is a lot of time to put aside for an org with small resources. We have a world to save back home :-) !

That he changes in the application system shouldn't turn out to be the end of the world for an organisation.

Funder (because that's what you are, even though there a bit more funder now than before)

36

:-) I was happy to see you in person, to know you better in action, it was a pleasure

:-| I am sure I'll keep doing my work since 2001 till the end.

:-( No questions

I established contacts with many counterpart org, we discussed possible initiatives in future.

It was a pleasure to see you in person and in action. Thank you!

-

One of the prominent point is... I checked myself weather I am in a mainstream or not … I am happy to be in.

Professional.

37

:-) The knowledge level gained and the openness of the ideas. I feel I am ready to jump to the new system and make the best use of it.

:-| I am not sure I know all I need for the new system, but I know this was not final anyway.

:-( I have questions about reporting but I will read the docs send or simply ask the secretariat when needed in practice.

We have an old relation with EYF and it is very important to be in the center and part if the changes. This meeting will, by all means, have a positive impact on our work.

I do feel the meeting reinforced the good partnership between us and I do stress the point that EYF is absolutely important for our org.

The second round of meetings should be a follow-up and analysis of the 1st year experiment and suggest the way of working in the future.

That communication is so IMPORTANT! To be open, honest, clear and collaborate, then the goals will be easier to reach.

YOU ROCK!
